Embodied Eros Retreat
These Terms and Conditions govern participation in the Embodied Eros Retreat (“Retreat”). By registering for the Retreat, each participant agrees to be bound by these Terms and Conditions.
The Organizers of this Retreat are Trevor James, LLC and Inspired Action Coaching and Sexual Wellness. The Facilitators for the Retreat are Paul Lennander and Trevor James.
This Retreat is a non-residential retreat held in the United States. Participants are responsible for arranging and paying for their own transportation, lodging, meals not expressly included, and any other personal expenses associated with attending the Retreat.
1. Definitions
Retreat: The Embodied Eros Retreat, including all workshops, sessions, group activities, and related programming offered by the Organizers.
Organizers: Trevor James, LLC and Inspired Action Coaching and Sexual Wellness.
Facilitators: Paul Lennander and Trevor James, along with any assistants, contractors, staff, or guest facilitators designated by the Organizers.
Participant: Any person who registers for and/or attends the Retreat. All participants must be at least 18 years old.
Trip Retainer: The initial non-transferable payment required to reserve a place in the Retreat.
Retreat Price: The total amount due for participation in the Retreat, including the Trip Retainer.
Special Circumstances / Force Majeure: Any event beyond the reasonable control of the Organizers, including but not limited to acts of God, natural disasters, severe weather, fire, flood, pandemic, epidemic, public health emergency, war, terrorism, civil unrest, government action, labor dispute, venue closure, utility failure, transportation disruption, or other similar causes.
Major Change: A substantial change to the Retreat date, location within the same metro area, core teaching staff, or a material portion of the Retreat program.
2. Booking and Acceptance
A reservation is made when the Participant submits the required registration information and pays the required $200 Trip Retainer.
All bookings are subject to acceptance by the Organizers. A booking is confirmed only when the Organizers issue written confirmation by email.
The Organizers reserve the right to decline any registration at their discretion.
3. Payment Terms
A $200 Trip Retainer is required at the time of registration to reserve a place in the Retreat.
The remaining balance of the Retreat Price must be paid by the deadline communicated by the Organizers. If the balance is not paid on time, the Organizers reserve the right to treat the booking as canceled and may offer the place to another participant. In that event, any refund will be governed by the cancellation policy below.
All prices are quoted in U.S. dollars unless otherwise stated.
4. Cancellation Policy
If a Participant wishes to cancel, notice must be given in writing by email.
The cancellation policy for this Retreat is as follows:
The $200 Trip Retainer is refundable until April 30.
After April 30, the Trip Retainer is 100% non-refundable.
Any cancellation made between April 30 and May 14 will result in a loss of 50% of the total Retreat Price.
Any cancellation made between May 15 and the Retreat start date will result in a total loss of funds.
Refunds, when due, will be issued within a reasonable period of time, less any non-refundable amounts stated above and less any third-party payment processing fees if applicable.
5. Cancellation by the Organizers
The Organizers reserve the right to cancel the Retreat if it does not meet the minimum number of participants required for the Retreat to proceed.
If the Organizers cancel the Retreat for this reason, the Participant’s payments made directly to the Organizers, including the Trip Retainer, will be refunded in full.
If the Retreat is canceled due to Special Circumstances / Force Majeure, the Organizers may, in their discretion, offer a transfer to a future retreat date, a credit, a partial refund, or a refund, depending on the circumstances and any non-recoverable costs already incurred.
The Organizers shall not be responsible for any losses or expenses incurred by Participants relating to transportation, lodging, insurance, or other third-party arrangements.
6. Required Trip Cancellation Insurance
Trip cancellation insurance is required for this Retreat.
Although the Retreat itself does not involve foreign travel, some participants may be traveling from other parts of the United States. Each Participant is solely responsible for purchasing and maintaining their own trip cancellation insurance and any other insurance they deem appropriate, including medical, accident, travel delay, interruption, or personal property coverage.
Participants may use the Organizers’ suggested provider, Wanderwell Insurance, and select from the policy options available there, or may choose their own insurance provider.
The Participant is responsible for reviewing their chosen policy carefully and ensuring that it provides the coverage they want, including cancellation coverage consistent with these Terms and Conditions.
7. Participant Responsibilities
Each Participant is responsible for:
arranging and paying for their own transportation to and from the Retreat
arranging and paying for their own lodging, unless otherwise expressly stated in writing
arriving on time and prepared for participation
providing accurate registration information
informing the Organizers in writing of any physical, emotional, mental health, accessibility, or other issues that may affect participation
taking responsibility for their own wellbeing, choices, and boundaries throughout the Retreat
Participants are expected to behave respectfully toward the Organizers, Facilitators, staff, venue personnel, and other participants at all times.
8. Health, Wellbeing, and Fitness for Participation
The Retreat may include embodied practices, movement, guided exercises, partner exercises, group interaction, communication practices, emotional processing, breath-based practices, and consensual touch-based exercises.
By registering, each Participant confirms that they are able to participate safely, or that they are choosing to participate with full responsibility for their own wellbeing.
The Participant is responsible for consulting with an appropriate medical or mental health professional if they have any condition that may affect their participation.
If a Participant has a condition that may make participation unsafe or inappropriate, the Participant must disclose that information before the Retreat. Failure to disclose relevant information may result in the Participant being removed from part or all of the Retreat without refund if the Organizers determine that participation presents a risk to the Participant or others. The original terms placed broad health disclosure obligations on the client, and that framework remains appropriate here.
The Retreat is not psychotherapy, medical treatment, or a substitute for licensed mental health care, medical care, or crisis intervention.
9. Consent and Participation
Some Retreat activities may include partner or group exercises and may involve consensual touch, communication, vulnerability, or emotional expression.
Participation in any exercise is voluntary. Each Participant is responsible for communicating their boundaries, asking questions when needed, and declining or stopping any activity that does not feel appropriate for them.
Participants must respect the boundaries, autonomy, and consent of others at all times.
The Organizers reserve the right to remove any Participant from the Retreat, without refund, if the Participant engages in unsafe, unlawful, harassing, abusive, threatening, discriminatory, or otherwise disruptive conduct.
10. Program Changes
The Organizers reserve the right to make reasonable changes to the Retreat schedule, activities, location, sequence of sessions, guest faculty, or other programming when necessary.
Where possible, the Organizers will communicate any Major Change in advance. Minor changes do not entitle the Participant to a refund or compensation.
11. No Residential or Travel Package Services
This Retreat is non-residential. Unless explicitly stated otherwise in writing, the Retreat fee does not include:
airfare or other transportation
hotel or lodging accommodations
airport transfers
meals outside of Retreat programming
travel-related services
personal expenses
medical or travel insurance
12. Complaints
If a Participant has a concern during the Retreat, they should raise it promptly with one of the Facilitators or with the Organizers so that a reasonable effort can be made to address it.
If a Participant wishes to make a formal complaint after the Retreat, they must do so in writing within 7 days after the Retreat ends.
13. Assumption of Risk
The Participant understands that participation in the Retreat involves inherent risks, including but not limited to physical injury, emotional discomfort, psychological stress, interpersonal misunderstandings, illness, property loss, and other known or unknown risks associated with embodied, relational, and experiential group work.
By attending the Retreat, the Participant knowingly and voluntarily assumes these risks.
14. Limitation of Liability
To the fullest extent permitted by law, the Organizers, the Facilitators, and their respective owners, employees, contractors, agents, volunteers, and representatives shall not be liable for any indirect, incidental, consequential, special, or punitive damages, or for any loss of income, opportunity, travel costs, lodging costs, emotional distress, or damage to personal property arising out of or related to the Participant’s attendance at or participation in the Retreat.
Nothing in these Terms and Conditions excludes liability that cannot legally be excluded under applicable law.
Participants are solely responsible for their own personal belongings, transportation arrangements, insurance coverage, and off-site activities.
15. Removal from the Retreat
The Organizers reserve the right to refuse participation, suspend participation, or remove any Participant from the Retreat, without refund, if the Participant:
poses a safety risk to themselves or others
fails to respect boundaries or consent
engages in unlawful, abusive, harassing, threatening, or disruptive behavior
damages property
materially interferes with the Retreat experience of others
fails to disclose a relevant condition that materially affects safe participation
16. Photography, Video, and Recordings
The Organizers may take photographs, video, or other recordings during the Retreat for promotional, educational, or archival purposes.
By attending the Retreat, the Participant grants the Organizers permission to use such recordings in print, online, social media, website, and promotional materials, unless the Participant notifies the Organizers in writing before the Retreat that they do not consent to being photographed or recorded.
17. Intellectual Property
All Retreat materials, teachings, handouts, exercises, recordings, branding, and related content are the intellectual property of the Organizers and/or the Facilitators unless otherwise stated.
Participants may not reproduce, distribute, record, publish, teach from, or commercially exploit Retreat materials without prior written permission.
18. Force Majeure
The Organizers shall not be liable for failure to perform, delay, modification, suspension, or cancellation of the Retreat where such failure or change is caused by Special Circumstances / Force Majeure.
In such circumstances, the Organizers may make reasonable decisions regarding postponement, rescheduling, transfer, credits, partial refunds, or other alternatives, taking into account costs already incurred and what is reasonably possible.
19. Governing Law and Jurisdiction
These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of California.
Any dispute arising out of or relating to these Terms and Conditions or the Retreat shall be subject to the jurisdiction of the courts located in California, unless otherwise required by law.
20. Severability
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
21. Agreement
By registering for the Embodied Eros Retreat, the Participant acknowledges that they have read, understood, and agreed to these Terms and Conditions.
